An honest look at the things that move a balloon decor quote up or down, from garland length and finish to backdrops, light up numbers and collection.

What Goes Into A Balloon Decor Quote

Most people asking about balloon decor cost want a straight answer, and the honest answer is that the figure depends on a handful of decisions that are yours to make. Two parties in the same venue on the same Saturday can land at opposite ends of a quote. One wants a short garland above a cake table. The other wants a full arch across a double doorway with a sequin wall behind it. Same date, same town, very different amount of work and material.

We price four things. The first is how much balloon there is. The second is what those balloons are. The third is what goes alongside them, and the fourth is what we have to do once we reach the venue. Everything else follows from those four. Size, Length And Where The Display Sits

Length is the single biggest factor in any garland or arch. Balloon work is priced by the run, because every extra metre is more balloons, more inflating and more time on the ladder. A metre and a half above a cake table is a small piece of work. Six metres across the front of a top table is a different conversation, even though both are described as a garland.

Density matters just as much as length. A light garland with visible gaps uses far fewer balloons than a packed one of the same width, and the fuller look is usually the one people have in mind when they send a photo. When a picture comes through, we are reading the density as much as the colours. If the budget is tight, a shorter garland built full will almost always photograph better than a long one stretched thin, so it is worth deciding which part of the room you want to carry the display.

Where the display sits changes the labour. A garland that runs along the front of a table is straightforward. One that climbs a staircase, spans a doorway as a full arch, or needs to reach a high ceiling takes rigging, access equipment and longer on site. Ceiling height, wall surface and whether the venue will allow us to fix anything all feed in. Some venues do not allow fixings at all, so we build freestanding on frames and plinths instead, and those frames become hire items on the quote.

Organic Or Classic, Foils And Chrome

Organic and classic are the two main finishes, and they are not interchangeable in price. An organic garland uses several balloon sizes clustered together so the run looks full and loose. A classic garland uses one size at even spacing, often linked in a neat line, and reads more traditional. Organic takes a higher balloon count and more hand work per metre. Classic is faster to build but has to be precise, because any wobble in the spacing shows.

The balloons themselves sit in different bands. Plain latex in a standard colour is the base. Chrome and metallic latex sit above that, balloon for balloon. Double stuffing, where one balloon goes inside another to reach a deeper or softer shade, means two balloons for every one you see in the finished display. Foil shapes, large foil numbers and themed character displays are separate items that get added on top of whatever the garland costs.

Personalised bubble balloons are priced on their own, because each one is printed for you. The wording, whether it goes on a clear bubble or a solid colour bubble, and how many you want all affect the figure. Helium is worth understanding too. The gas is a real cost, so a display built on air over a frame will always come in under the same shape floating on helium. If you want height without paying for helium, a frame will usually get you there.

Helium balloons for tables are counted per table, so the number of tables matters more than the size of the room. If you want a bunch on every table as well as a large display at the front, tell us both at the enquiry stage and we can balance the two rather than pricing one and then reworking it.

Backdrops, Plinths And Light Up Numbers

Backdrops change a room more than any other single item, and they move a quote accordingly. Sequin walls and our flower and greenery walls arrive as a frame plus the panel, which means delivery, install, a set time in the room and collection afterwards. One backdrop behind a cake table can do more for photographs than several extra metres of garland, so it is often the better place to put the budget.

Plinths and props work the same way. Event prop hire, event linen hire and table decor are all priced per item, so a quote with six plinths, linen for ten tables and a backdrop reads very differently to a quote for a garland on its own. Soft play hire is a separate hire line as well, and it needs floor space set aside, which is worth raising with your venue early.

Light up number and letter hire is priced per character. A fortieth is two characters. A name written out is as many characters as the name, which is why a short word is far kinder on the budget than a long one. The characters also need a socket within reach, so where you want them standing has a practical bearing on whether it works at all. If there is no power on that wall, it is better to know before the day than on the morning of the install.

Delivery, Install Time And Collection

Access at the venue matters more than most people expect. Where we can park, whether there is a lift or a flight of stairs, what time the room is handed over and whether a caterer or band is working in the same space all change how long the install takes. A room we can get into at nine in the morning is a very different job to the same room released half an hour before guests arrive.

We deliver, install and come back to take everything down, so collection is a second trip and sits in the quote. Hire pieces always come back to us, which means anything involving a sequin wall, a flower and greenery wall, plinths or light up numbers will include that return trip. How Long It Has To Last, And How To Brief Us

How long the work has to hold up is the last big variable. An air filled display on a frame will keep its shape indoors for a good stretch, which is why it suits anything that needs to look right across two days. Helium behaves differently, and heat, direct sun and movement all shorten how long it stays up. Outdoors, sun and wind work against latex, so an outdoor arch is built with more support and often more balloon than the same arch indoors.

Rooms vary too. A cool hall, a marquee in the afternoon sun and a conservatory are three different environments for the same balloons. Tell us where the display is standing and we will build it to suit.
